Most event teams are up and running within a few hours. You create your account, set up your first event with basic details (date, venue, budget, expected headcount), and EventFlux generates your task timeline and vendor coordination plan automatically. If you have existing vendor contacts, you can import them via CSV.
There is no lengthy onboarding process. You can start coordinating vendors and tracking your budget on the same day you sign up.
No. EventFlux is entirely web-based. You access it through your browser on any device — desktop, laptop, tablet, or phone. There is nothing to install and no IT department required.
EventFlux supports any type of planned event: corporate conferences, trade shows, galas, fundraisers, weddings, product launches, team retreats, award ceremonies, holiday parties, networking events, and more. The AI adapts its task generation and timeline templates based on the event type you select.
If you run a type of event that is not in our template library, you can build a custom template and save it for future use.
No long-term contracts. EventFlux is month-to-month with no cancellation fees. Annual plans are available at a discount (save roughly two months), but there is no penalty for switching to monthly or canceling. We earn your business every month.
Absolutely. EventFlux is built for teams managing concurrent events. Each event has its own dashboard, timeline, budget, vendor list, and attendee roster. You can switch between events instantly and see a portfolio view of all active events on your home screen.
The Starter plan supports up to 5 events per month, Professional supports 25, and Enterprise is unlimited.
When you create an event, you provide the event date, type, and key parameters (venue, expected headcount, budget). EventFlux uses these inputs along with its knowledge of event planning best practices to generate a backward-planned timeline. It identifies every task that needs to happen — from venue booking months in advance to day-of setup — and sequences them with proper dependencies.
You can customize any aspect of the generated timeline. Add tasks, adjust dates, reassign team members, or modify dependencies. The AI treats your edits as constraints and recalculates the rest of the timeline accordingly.
Yes. EventFlux supports in-person, virtual, and hybrid event formats. For virtual and hybrid events, the platform includes additional task categories for streaming setup, virtual platform coordination, and remote attendee management. The vendor coordination hub works the same way for AV streaming vendors as it does for in-person vendors.
Yes. EventFlux generates a detailed day-of timeline with minute-by-minute scheduling for setup, program flow, and teardown. Team members can access the day-of schedule from their phones and mark tasks as complete in real time. The event coordinator gets a live status view showing what is on track and what needs attention.
Each vendor assigned to an event gets a profile in the vendor coordination hub. You can track their contract status, payment schedule, communication history, and deliverables from one place. EventFlux sends automated follow-ups when vendor responses are overdue and alerts you when contract deadlines approach.
After each event, you rate vendors on quality, reliability, communication, and value. Over time, this builds a vendor database that helps you make better selection decisions for future events.
Yes. EventFlux provides both per-event and portfolio-level budget views. You can see total spend across all active events, compare budgets between similar events, and identify cost optimization opportunities. The AI forecasting engine analyzes your spending patterns and alerts you when any event is trending over budget.
EventFlux tracks payment schedules and sends reminders when payments are due, but it does not process payments directly. You make payments through your existing payment methods (check, bank transfer, credit card). EventFlux records the payment and updates the budget dashboard automatically.
EventFlux uses bank-grade encryption for all data. Data is encrypted in transit using TLS 1.3 and at rest using AES-256 encryption. Our infrastructure is hosted on SOC 2 Type II certified cloud providers within the United States. We never share, sell, or use your event data for any purpose other than providing the service.
We also maintain comprehensive audit logs of all data access, support role-based access controls, and offer two-factor authentication for all user accounts.
Yes. You own your data. At any time, you can export your complete event history, vendor database, attendee records, and budget data in standard formats (CSV, PDF). If you cancel your subscription, you have 90 days to export your data before it is permanently deleted.
Yes. EventFlux provides tools to help you comply with GDPR and other data privacy regulations. Attendee data collection includes consent management, and you can process data deletion requests through the platform. We maintain a detailed privacy policy and data processing agreement available upon request.
At the end of your trial, you choose a plan and enter payment information. If you do not subscribe, your account is paused — you can still log in and export your data for 90 days, but automated features stop. There is no surprise charge and no credit card is taken during the trial.
Yes. You can upgrade or downgrade at any time. Upgrades take effect immediately with prorated billing. Downgrades take effect at the end of your current billing cycle. If you outgrow the Professional plan during a busy event season, upgrading to Enterprise takes one click.
